Neighbor-Pool (“we”, “us”, “our”) is committed to protecting the privacy of every resident who interacts with our platform. This Privacy Policy describes what information we collect, how we use it, and the choices you have. By using the Service, you consent to the practices described here.
2. Information We Collect
Information you provide:
- Email address — used to contact you when group rates are confirmed
- Service preferences — which categories you are interested in (e.g., lawn care, cleaning)
- Address association — your sign-up is linked to the residential address embedded in the QR code you scanned
- Provider referrals — if you use our “Invite My Pro” feature, we collect the name and email address of the provider you invite, along with any personal note you include. This information is used solely to deliver the invite on your behalf and is not used for marketing or shared with third parties.
Information collected automatically:
- QR scan events — we log when your address's QR code is scanned, including a timestamp and browser user agent
- Standard web logs — IP addresses, browser type, and referrer URL may be captured by our hosting infrastructure
3. How We Use Your Information
- To notify you when a group rate for a service you selected has been confirmed
- To aggregate interest data by neighborhood and street for negotiation purposes
- To improve the Service and diagnose technical issues
- To respond to inquiries sent to our support email
We do not use your information for advertising, profiling, or sale to third parties.
4. Information Sharing
We share your information only in the following limited cases:
- Service providers: When you accept a confirmed group offer, we share the minimum necessary information with the provider (typically just scheduling logistics, not your personal contact details unless you explicitly consent).
- Invited providers: When you use “Invite My Pro,” we send your first name and a message on your behalf to the provider email you specify. No additional personal data is shared. The invited provider is informed only that a client recommends them for a neighborhood deal.
- Neighborhood administrators: Admins who manage your address's presence on Neighbor-Pool can see aggregated signup counts, but not individual email addresses.
- Legal compliance: We may disclose information if required by law, court order, or to protect the rights and safety of Neighbor-Pool or others.
We never sell your personal information.
5. Data Retention
We retain your sign-up information for as long as your account is active or as needed to provide the Service. If you request deletion, we will remove your email address and service preferences within 30 days, except where retention is required by law or for legitimate business purposes (such as fraud prevention).
6. Your Rights and Choices
You have the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Delete your data — email us and we will process your request within 30 days
- Opt out of any service offer at any time before acceptance
- Unsubscribe from marketing and notification emails — every non-transactional email we send includes a one-click unsubscribe link in the footer. You can also manage your preferences granularly (deal updates, payment reminders, neighborhood activity) in Account Settings → Notifications. Transactional emails (account verification, password resets, and payment failure alerts) cannot be disabled because they are essential to operating your account.

7. Security
We use industry-standard security practices to protect your information, including HTTPS encryption for all data in transit and restricted access controls for our data storage. No system is 100% secure, but we take reasonable steps to protect your data from unauthorized access, loss, or disclosure.
8. Sub-Processors and Service Providers
We use the following trusted third-party services to operate the platform. Each acts as a data processor on our behalf and is subject to appropriate data processing agreements:
- Stripe — payment processing. Your payment data is handled directly by Stripe and subject to their Privacy Policy.
- Resend — transactional email delivery (verification, notifications, invites). Privacy Policy.
- PostHog — product analytics (only loaded after you consent to analytics cookies). Privacy Policy.
- Neon — database hosting (your data is stored on Neon's infrastructure). Privacy Policy.
- Vercel — web hosting and serverless functions. Privacy Policy.
We do not sell your personal data to any third party.
9. California Privacy Rights (CCPA)
California residents have additional rights under the California Consumer Privacy Act (CCPA):
- Right to know — you may request details about the categories and specific pieces of personal information we collect.
- Right to delete — you may request deletion of your personal information (subject to exceptions). Use the “Delete Account” button in Account Settings or email privacy@neighbor-pool.com.
- Right to opt out of sale — we do not sell your personal information to third parties.
- Non-discrimination — exercising your privacy rights will not result in discriminatory treatment.
10. Children's Privacy
The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has submitted information through the Service, please contact us and we will delete it promptly.
11. Third-Party Links
The Service may contain links to external websites (e.g., provider websites). We are not responsible for the privacy practices of those sites and encourage you to review their policies separately.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by posting a notice on the Service or emailing you. Continued use of the Service after changes take effect constitutes your acceptance.
